Lost or uncollectible loans
Sometimes a client stops paying and you no longer expect to get the money back. Instead of deleting the loan, you can mark it as lost: it leaves your active portfolio, the outstanding balance is recorded as a loss, and you can reactivate it if the client starts paying again.
Mark a loan as lost
- Open the loan and tap its card to see the Options.
- Tap Mark as lost. It only appears if the loan has an outstanding balance.
- If you want, write a Reason (optional) (up to 500 characters).
- Check I understand this loan will move to Lost Loans and confirm.
You'll see Loan marked as lost. The balance that was still outstanding is saved as the lost amount.
If you work in Team, only the owner or an admin can mark loans as lost.
What changes
- The loan no longer counts in your outstanding balance or in overdue loans.
- You can no longer record payments on it. If the client starts paying again, reactivate it first.
- A red notice appears on the client: This client has X lost loan(s) totaling the total amount. Tap View lost loans to see them.
Where to see your lost loans
- In Loans, on the Lost tab.
- In the Lost Loans summary: from the menu (☰) → Functions → Lost Loans, or from Reports, where you first pick a date range. It shows how many loans and clients you have as lost, the total lost and the average percentage recovered, with a currency filter, the detail of each loan, and options to print it or share it as a PDF.
The Lost Loans summary is included in the paid plans (Essential, Professional and Business) and during the 60-day trial.
Reactivate or delete a lost loan
Open the lost loan to see its detail:
- Reactivate loan: returns it to your portfolio as it was, and it counts in your balances again. Use it if the client resumes payments.
- Delete permanently: deletes the loan for good. We ask you to confirm with Delete permanently? because it can't be undone.
On the web
On loanadmin.app you can also mark a loan as lost from its detail (Mark as lost), see them from Features → Lost loans in the sidebar (it opens the loan list with the Lost filter), and Reactivate loan or Delete permanently. The Lost Loans summary is only in the app.
