Backup and restore

Backup and restore

There are two different things people call "backup" in LoanAdmin. It helps to know both.

1. Your data lives in your account

Everything you record — customers, loans, payments — is saved to your LoanAdmin account on our servers (Google Firebase), not only on your phone. If you lose your phone or change it, sign in on the new one with the same account and your data is there. You don't have to do anything for this.

2. Cloud backups: a snapshot you can go back to

A cloud backup is a copy of your account at a moment in time. Restoring it puts your data back exactly as it was then. Use one before a big clean-up, before importing data, or simply as insurance.

Cloud backups are manual: LoanAdmin doesn't create them on a schedule. You create each one yourself.

Where to find it

  • Phone: Dashboard → menu button (☰) at the top-right → Functions → Backup & export.
  • Tablet: tap your photo on the Dashboard → Profile → Backup.
  • Web app (Business plan): Backup & export in the sidebar.

How many backups you can keep

  • Business and the 60-day trial: 15
  • Professional: 3
  • Essential: 1
  • Legacy Loyalty plan without a subscription: cloud backups aren't included.

The screen shows how many you've used. When you reach your limit, delete an old backup before creating a new one.

Each backup is kept for 60 days and then deleted automatically.

Creating a backup

  1. Tap Create Backup and confirm.
  2. The backup runs in the background; the screen shows its progress and you can keep using the app.
  3. When it finishes, it appears in the list with its date, size and how many customers, loans and payments it contains.

A backup includes your customers, loans, payments and settings. You need an internet connection.

Restoring a backup

Warning: restoring replaces all your current data with the data in the backup. Anything you recorded after the backup's date — new loans, payments, customers — is replaced.
  1. Find the backup in the list and tap Restore.
  2. Read the warning and tap Continue.
  3. Type the backup's date exactly as shown to confirm.
  4. The restore runs in the background. Large accounts can take several minutes.

Deleting a backup

Tap the delete button on the backup and confirm. A deleted backup can't be recovered.

Can I download my data?

Cloud backups stay in your account; the app doesn't download a backup file to your phone. On the Business plan, the web app can export data to Excel — see Export to Excel. Most reports can also be shared as a PDF (Reports).

Team members: Backup & export isn't shown while you're working inside a company. Backups belong to the owner's account.
